About Us

Advantage Virtual Agency is a small, growing UK-based agency that supports scaling founders with operational and administrative work. The kind that keeps a business running, but shouldn’t take up a founder’s whole day.

We work with a team of specialist freelance associates across a handful of client accounts. This is our first employed hire, so we’re looking for someone who wants to help shape how this role works as the agency grows.

The Role

We’re looking for someone who genuinely enjoys keeping things running — the kind of person who spots what needs doing before being asked, likes having real ownership, and finds satisfaction in knowing nothing slipped through the gaps today.

You’ll be the central point of operational coordination for the agency. Day-to-day, that means acting as the main operational contact for assigned clients, managing their workflows in ClickUp, and keeping a small team of freelance associates on track — allocating work, chasing progress, and making sure delivery actually happens.

It’s a varied role, but the common thread is the same: things move forward because you’re on it. Not because someone reminded you.

What You’ll Be Doing

For clients:

  • Be the day-to-day operational contact — managing inboxes, diaries, and task flow on their behalf

  • Turn meetings and emails into clear actions in ClickUp, then follow them through to completion

  • Prepare documents and updates, and attend calls where it’s helpful to have you there

  • Make sure clients feel looked after without needing to chase

For the associate team:

  • Allocate tasks to the right people based on their skills and availability

  • Keep an eye on progress and chase where needed — proactively, not reactively

  • Flag anything that’s at risk before it becomes a problem

For the business:

  • Own the ClickUp workspaces — keeping them accurate, up to date, and actually useful

  • Handle the monthly associate timesheet process

  • Spot where things could run better and suggest practical improvements

The Details

  • 16 hours per week — Monday to Thursday, 10am–2pm

  • Fully remote, UK-based

  • £14–£15 per hour depending on experience

  • 6-month fixed-term contract with a genuine view to going permanent

  • 3-month review

The hours are fixed and contractual — core availability Monday to Thursday is a real requirement of the role. If you require complete flexibility around working hours, this role may not be the right fit.

About You

You’ll probably have a background in operations, coordination, or client support — and you’re used to managing more than just your own workload. Maybe you’ve worked in an agency or multi-client environment, or somewhere that required you to hold a lot of moving parts at once.

You’re likely someone who:

  • Takes ownership and sees things through, you don’t need chasing

  • Is comfortable coordinating others and managing upwards when needed

  • Keeps calm when things are busy and knows how to prioritise

  • Communicates clearly and professionally, whether with clients or colleagues

  • Enjoys finding better ways to do things, not just maintaining the status quo

  • Has used ClickUp, Asana, Trello or similar, and actually keeps it up to date

This role probably isn’t right for you if you’re looking for general admin or inbox support work, prefer someone else to set your priorities, or want a fully flexible schedule. That’s not a criticism — it’s just a different kind of role.

While the core focus is operational coordination and client support, the right person will be comfortable turning their hand to different things when needed and helping keep the business running smoothly.
